1. General Terms

By booking any services with HolaZeli Travels Private Limited (hereinafter referred to as HTPL), you acknowledge and accept these terms and conditions. The company reserves the right to amend or modify these terms without prior notice.

2. Booking and Confirmation

All bookings require a confirmation email from the client to confirm the package details, duration and itinerary. The booking will be considered confirmed only upon receipt of the initial deposit, as outlined in our payment terms below.

3. Payment Terms

  • Up to 61 Days Prior to Date of Departure: 25% of the total payment.
  • 60 Days Prior to Date of Departure: 50% of the total payment.
  • 59 to 45 Days Prior to Date of Departure: 75% of the total payment.
  • For bookings made within 45 days of departure, the full payment must be received at the time of booking.
  • If you are booking your flights, VISA and Travel Insurance through HTPL, the full amount must be paid at the time of flight booking, visa processing, and travel insurance, including applicable taxes.
  • Payments should be made via bank transfer using NEFT, RTGS, IMPS, or UPI, or as otherwise agreed. Final confirmation will only be sent once the required payments have been received in HTPL’s Bank account.
  • Government-mandated GST and TCS will be applicable additionally.

4. Cancellation Policy

Cancellation by HTPL:

HTPL reserves the right to cancel or amend bookings due to unforeseen circumstances such as force majeure events, government restrictions, or operational issues. In such cases, the company will endeavor to offer alternate arrangements where possible. HTPL is not liable for any additional expenses, business losses, or compensation beyond rescheduling or refunds, where applicable.

Cancellation by the Client:

If you wish to cancel a confirmed booking, please notify us in writing by email. Cancellations are considered effective only once the written communication is acknowledged by our team. The following cancellation charges apply:

  • Cancellation up to 60 days prior to departure: 10% of the total cost.
  • Cancellation between 59 to 30 days prior to departure: 30% of the total cost.
  • Cancellation between 29 to 16 days prior to departure: 50% of the total cost.
  • Cancellation within 15 days of departure: No refund.

Additional Cancellation Terms:

  • Cancellation charges apply regardless of the reason, including medical emergencies or visa issues. No exceptions can be made unless specifically stated otherwise.
  • Cancellation of the entire trip by the client, including due to visa refusal.
  • Rescheduling of the entire trip.
  • Withdrawal of one or more members from the trip leading to a full or partial cancellation of bookings.
  • Flight cancellation charges will be applicable as per airline policy.

Visa Refusals:

  • HTPL acts as a facilitator for visa applications but does not guarantee visa approval, as that remains at the discretion of the relevant embassy or consulate. It is the client’s responsibility to ensure that they have all required documentation.
  • In cases where cancellation is due to visa refusal, HTPL will follow its standard cancellation policy unless otherwise specified in specific terms for the package booked.

Non-Payment of Balance:

HTPL reserves the right to cancel any bookings if the full payment is not made within the stipulated time. Cancellation fees will apply as per the cancellation policy mentioned above.

Processing Fee:

A processing fee of 5% of the package cost will apply if the booking is withdrawn within minutes of confirmation. Once a confirmation number is issued, regular cancellation fees will be applicable.

5. Refund Policy

  • Refunds, if applicable, are generally issued within a specific timeframe post-cancellation, depending on the payment method used.
  • Refunds are issued via cheque or bank transfer using NEFT/RTGS to the original booking party and are not transferable to third parties.
  • All refunds are subject to deductions as per the cancellation policy, processing fees and any non-refundable amounts paid to suppliers.

6. Amendments to Bookings

  • Requests for itinerary changes or service adjustments must be emailed. We will strive to accommodate such requests, though changes may incur additional fees.
  • Changes to flights, hotel accommodations, or activity bookings may be subject to specific airline/vendor policies. While HTPL will do its best to minimize penalties, these fees will be the responsibility of the client.

7. Travel Restrictions and Exceptional Situations

  • In cases where travel is rendered impossible by restrictions (e.g., pandemic lockdowns, natural disasters), we may offer alternate arrangements or allow date adjustments. However, certain components, such as hotels, flights, or train tickets, may not be refundable or may incur penalties based on the service provider’s own policies.
  • HTPL will not be liable for additional expenses due to cancellations or delays caused by circumstances beyond our control.

8. Travel Insurance

  • Clients are strongly advised to purchase comprehensive travel insurance covering medical expenses, loss of luggage and other potential incidents during travel.
  • In some cases, travel insurance may be mandatory, especially if required for visa applications. Clients should consult with the insurance provider to ensure coverage aligning with their needs.

9. Limitation of Liability

  • HTPL is not liable for any damage, loss, delay, or inconvenience resulting from incidents beyond our control, including but not limited to natural disasters, political events, pandemics, government regulations, or delays in flights or other transportation.
  • Certain activities may involve risks and HTPL will not be responsible for injuries, accidents, or damages incurred during travel.

10. Currency Fluctuations and Taxes

  • All package prices are quoted in INR for ease but may be subject to adjustments due to significant fluctuations in foreign currency exchange rates.
  • Any taxes, duties, or surcharges imposed by government authorities will be added to the final package cost if not already included.

11. Privacy and Confidentiality

  • HTPL respects client privacy and ensures the protection of personal information as per applicable privacy laws.
  • Personal data collected for bookings will be used solely for travel arrangements and will not be shared with unauthorized third parties.

12. Amendments to Terms and Conditions

HTPL reserves the right to update and amend these terms as needed. Updates will apply to new bookings and will not impact previously confirmed bookings. It is the client’s responsibility to review the terms before making any booking.

13. Governing Law and Jurisdiction

The terms and conditions are governed by the laws of India. Any disputes arising from bookings with HTPL will be subject to the exclusive jurisdiction of the courts in New Delhi, India.
